Scope Description of the ERPNext Start package

The contract refers to the Scope Description signed as an appendix, not to the current content of the website. Later changes to the website do not change the scope of a concluded contract. This English version is provided for information; the Polish version (Opis Zakresu) is the template used for contracts.

1. Price

  1. Package price: PLN 9,900 net, one-time.
  2. Under the promotion valid until 31 December 2026, Polish localization (ERPNextPL) is included in the package price. ERPNextPL updates are free for 12 months from system acceptance, then PLN 400 net per year.
  3. VAT is added to net prices at the applicable rate.

2. Scope

  1. Frappe CRM (leads, deals) connected to ERPNext.
  2. Sales: quotations, sales orders, VAT invoices, sales price list.
  3. Purchasing: purchase orders, purchase invoices, suppliers.
  4. Stock: 1 warehouse, goods receipts and issues, current stock levels.
  5. VAT configuration and optional upload of a chart of accounts supplied by the customer, without preparing or verifying it.
  6. Configuration of company data, document numbering, SMTP, logo and backups.
  7. Up to 5 user accounts.
  8. Polish localization (ERPNextPL). E-mail notifications and print templates supplied with ERPNextPL are inactive by default; those chosen by the customer are activated, without creating new ones.
  9. GUS integration (REGON API). The REGON API key is free; the customer applies to GUS at [email protected]. The time needed to issue the key does not count towards the term.
  10. Access to the kursy.erptech.cloud training platform with basic courses on sales, purchasing, stock and payments (courses in Polish). The package does not include live or on-site training.
  11. Helpdesk account and 10 support slots (1 slot = 15 minutes), valid for 30 days from the system acceptance date, under the Slot Bank Terms (in Polish). First response within 24 business hours, minimum 1 slot per ticket. Slots are not meant for preparing data before go-live.

3. Data import

  1. Limits: 500 customers, 500 suppliers, 5,000 products and services, 5,000 price list items.
  2. One basic iteration and one correction iteration, from files in the ERPtech templates (CSV or Excel).
  3. No migration of historical documents and transactions, no data cleaning.

4. Term and conditions of delivery

  1. 15 business days from the confirmation that the data is complete and correct and the access has been received.
  2. Until the acceptance date the customer makes no changes in the system.
  3. Agreed versions: Frappe v16.52.0, ERPNext v16.51.1, Frappe CRM v1.88.0. No updates during the implementation without the consent of both parties.

5. Hosting, installation and VPN

  1. ERPtech hosting is free until the system acceptance date; from acceptance a paid subscription applies according to the selected plan (plans and prices: hosting.erptech.cloud).
  2. Installation on the customer's server: PLN 3,000 net. No charge where: (i) the customer provides a clean, unconfigured ERPNext, administrator login details, the administrator's e-mail and SSH access, without an additional VPN; (ii) the system runs on Frappe Cloud or ERPtech Cloud.
  3. Additional VPN: PLN 1,500 net; PLN 500 net where the customer uses the ERPtech NetBird client.

6. Out of scope

  1. KSeF integration; the integration requires the KSeF Integration app (page in Polish).
  2. Manufacturing (BOM, MRP, work orders), product variants, historical migration.
  3. E-commerce, accounting and other external system integrations (apart from GUS), APIs, webhooks, custom development, new DocTypes.
  4. New print and notification templates, advanced workflows, reports and dashboards.
  5. Support subscription and hosting after system acceptance.

Every item outside the scope requires a separate quote and written acceptance.
