If you need manufacturing, migration of transaction history, custom integrations or complex processes, a different implementation scope will be required.

VAT configuration + optional chart of accounts upload

We configure VAT rates and tax templates to handle sales and purchase documents. Optionally we upload a chart of accounts supplied by the customer in an agreed format, without preparing or verifying its content. The package does not include fixed assets configuration or full accounting.

Technical configuration

  • Company data setup: name, tax ID (NIP), address, contact details, fiscal year
  • Tax templates: VAT 23%, 8%, 5%, 0%, exempt: ready to use
  • Adding the company logo to the system and document templates
  • Master data import: customers, suppliers, products, services and price list items from CSV or Excel files, within the package limits, without product variants and without BOM structures.
  • The import includes one basic iteration and one correction iteration.
  • Up to 5 user accounts: account creation, passwords, role assignment
  • E-mail sending configuration (SMTP) based on the details provided by the customer
  • Product price lists: configuration of a basic sales price list
  • Configuration of document naming series and numbering according to the customer's needs
  • Configuration of automatic backups, schedule and retention of copies according to the customer's needs

Training platform and Helpdesk

  • Access to the kursy.erptech.cloud training platform with basic courses on sales, purchasing, stock and payments (in Polish)
  • Creation of a customer account in the ERPtech Helpdesk system
  • 10 technical support slots added to the account (1 slot = 15 minutes), valid for 30 days from the system acceptance date
  • First response to a ticket within 24 business hours
  • Each ticket uses at least 1 slot. Slots are not meant for preparing data before go-live.

KSeF integration outside the package

The package does not include KSeF integration. Sending sales invoices, downloading purchase invoices and handling KSeF numbers and statuses require a separate purchase and implementation of the KSeF Integration for ERPNext app (page in Polish).

Polish localization included in the package price (promotion until 31.12.2026)

Under the promotion valid until 31 December 2026, Polish localization (the ERPNextPL app) is part of the ERPNext Start package and is not charged extra (regular price PLN 2,900 net). It adds Polish translations, document templates and the features described below. ERPNextPL updates are free for 12 months from system acceptance, then cost PLN 400 net per year.

Polish localization features (ERPNextPL)

  • Polish interface translations adapted to the Polish market
  • Polish document templates: VAT invoice with amount in words, quotation, purchase order, WZ (goods issue), PZ (goods receipt)
  • MT940 bank statement import (ING, PKO, Pekao...)
  • NIP validation using the weighted checksum algorithm
  • REGON, KRS and PESEL fields on the Customer record

E-mail notifications and Print Templates supplied with ERPNextPL are inactive by default. We activate those chosen by the customer (e.g. an overdue payment reminder) and set their events, recipients and roles. We do not create new notifications or templates.

GUS register integration

We configure the connection between ERPNextPL and the REGON (BIR) API, which fetches contractor data based on NIP, REGON or KRS.

The integration requires a REGON API key. The key is free and is issued by GUS on the customer's application sent to [email protected]. We help prepare the application. The time waiting for the key is not counted towards the implementation term: we finish the integration once a valid production key has been received.

Hosting, installation on the customer's server and VPN

Hosting on ERPtech infrastructure is free until the system is accepted. From the acceptance date a paid subscription applies according to the selected plan: plans and prices at hosting.erptech.cloud; technical details in the hosting description. The ERPNext Start package does not include a support subscription (MINI/STANDARD/PREMIUM): support packages are ordered separately.

How the implementation starts

  1. Handover of data and access. Data in the provided templates and the required access.
  2. Verification of completeness and correctness. The 15 business day term starts from the confirmation.
  3. Delivery of the scope. Configuration and import as described in the package. Time spent waiting for the customer's corrections does not count towards the term.
  4. Acceptance and start of paid hosting. From the acceptance date the subscription according to the selected plan applies, and the validity of the support slots begins.

Waiting for the REGON API key from GUS does not count towards the delivery term.

Implementation terms

The 15 business day term is counted from the confirmation that the data, prepared according to the templates we provide, is complete and correct, and all required access has been received. Time spent waiting for corrections or additions on the customer's side is not counted towards the delivery term.

Data requirements

The customer provides customer, supplier, product and price list data in the Excel or CSV templates supplied by ERPtech. Files must contain the required fields, correct data types and unique identifiers.

The package does not include data cleaning, removing duplicates, filling in missing information, merging multiple sources, mapping non-standard formats or migrating transaction history.

Number of data iterations

The package price includes one basic import iteration and one correction iteration. Further iterations, changes to the data structure after approval, or data preparation by ERPtech require a separate quote.

  1. The customer sends the files.
  2. The consultant verifies them and returns a list of errors.
  3. The customer sends one corrected version.
  4. Each subsequent correction or change of scope is additional work.

Helpdesk slots are granted after system acceptance and are intended for operational support. They are not meant for preparing or correcting data before go-live.

Data volume limits

  • Customers: up to 500 records
  • Suppliers: up to 500 records
  • Products and services: up to 5,000 records
  • Price list items: up to 5,000 records
  • Historical documents and transactions: no migration

Larger volumes are subject to prior analysis and may require a separate quote.

System under acceptance and versions

Until the acceptance date the customer makes no changes in the system (configuration, data, apps).

We carry out the implementation on agreed versions: currently Frappe v16.52.0, ERPNext v16.51.1 and Frappe CRM v1.88.0. We do not update the system during the implementation without the consent of both parties.

Simple scope

The package works best when the company has simple sales and stock processes, without complex manufacturing or advanced integrations.

Does PLN 9,900 net cover all costs?

It is a one-time price for the ERPNext Start implementation within the described scope, including Polish localization (ERPNextPL), which is included in the price as a promotion until 31 December 2026. Hosting is free until the system is accepted; after acceptance a paid subscription applies according to the selected plan. Installation on the customer's server, an additional VPN, and work or integrations outside the scope are charged separately: see additional fees.

Is Polish localization included in the package price?

ERPtech hosting is free until the system is accepted. From the acceptance date a paid subscription applies according to the selected plan: plans and prices at hosting.erptech.cloud.

Can the package be extended later?

Yes. After the system is accepted you can add further modules, manufacturing or integrations as separate stages.

Is the GUS API key paid?

No. The REGON (BIR) API key is free. The customer applies to GUS at [email protected], and an ERPtech consultant helps prepare the application and configures the key in ERPNextPL. The time waiting for the key is not counted towards the implementation term.

How does data migration work?

The package covers importing up to 500 customers, 500 suppliers, 5,000 products and services and 5,000 price list items from correctly prepared CSV or Excel files: one basic iteration and one correction iteration. It does not include migrating historical documents or transactions.

What happens if the files contain errors?

We will send you a list of the problems found. The package includes one correction iteration after the customer fixes the data. Further iterations, or data preparation by ERPtech, are quoted separately. Support slots are not meant for preparing data before go-live.

Does the package include data cleaning?

No. The customer is responsible for completeness, correctness and the absence of duplicates. We can help prepare the data as a separately quoted service.

Can I have more than 5 user accounts?

The package includes up to 5 user accounts. More accounts require moving to a broader package or a separate quote.
